How to send a voice note on WhatsApp

In Conversations, open a WhatsApp conversation where the customer messaged you in the last 24 hours, click the microphone icon, record (up to 10 minutes), and click Send. The customer gets it as a regular WhatsApp voice message.

Updated on

Before you start

  • The customer must have messaged you in the last 24 hours (customer service window open). Otherwise, send an approved template first.
  • Your browser needs permission to use the microphone.
  • Each voice note can be up to 10 minutes long.
Where to find it

Conversations › customer's conversation › WhatsApp channel › microphone icon

Step by step

  1. Open Conversations and click the customer's conversation.
  2. Make sure the selected channel is WhatsApp.
  3. Click the microphone icon in the message box.
  4. If your browser asks, click Allow to give access to the microphone.
  5. Record your message. You can pause, resume, re-record, or delete it before sending.
  6. Click Send. Elooo System converts the audio to WhatsApp's format so the customer can play it right in the chat.

In the Elooo System mobile app

  1. Open the customer's WhatsApp conversation.
  2. Press and hold the microphone icon while you record.
  3. Let go to finish, then send.

Tips

  • Say the customer's name and answer their specific question: it feels more personal.
  • If the customer has voice message transcripts turned on in their WhatsApp, they can read your voice note as text. That's a setting on the customer's phone, not in Elooo System.
  • Voice notes customers send you show up in the conversation and can be played there.

Common problems

  • The microphone won't record → Allow the microphone in your browser's site settings (the lock icon next to the address) and reload the page. Make sure no other program is using the microphone.
  • I can't send the voice note → The 24-hour window is closed. Send an approved template and wait for the customer to reply.
  • Old voice notes show up blank → WhatsApp only keeps media files for a limited time. Very old voice notes may no longer be available.
  • The recording stops on its own → You reached the 10-minute maximum. Split your message into several voice notes.
