How to send a certificate manually to a contact

Go to Memberships › Certificates, open the template you want, click Send, fill in the instructor name and the recipient's email (or Add New if they aren't a contact yet) and click Send. The learner gets an email with a link to download the certificate as a PDF; the record appears under Issued Certificates.

Before you start

  • Have a certificate template created in Memberships › Certificates.
  • Know the recipient's name and email. If the person isn't a contact yet, you can create them at the time of sending.
  • This works for in-person training, courses delivered outside Elooo System, or for testing a template before attaching it to a course.
Where to find it

Memberships › Certificates › (open the template) › Send

Step by step

  1. In the left menu, open Memberships and click Certificates.
  2. Pick the template you want to send (or create a new one with New).
  3. Open the template and click Send.
  4. Fill in the requested details: the instructor name and the recipient's email.
  5. If the recipient doesn't exist in your contacts yet, click Add New and create them right there.
  6. Click Send. The recipient gets an email with a link to open and download the certificate as a PDF.
  7. To confirm the send and keep track of everything issued, go back to Certificates and open Issued Certificates.

Tips

  • Send a certificate to yourself first to see exactly what the learner receives and check the design.
  • To issue the same certificate to several people from one training session, repeat the send for each contact; each record is listed individually under Issued Certificates.
  • If you want the send to happen automatically after an event (quiz passed, tag, payment), use a workflow with the issue certificate action instead of sending manually.

Common problems

  • The recipient didn't get the email → Check the email you typed in the send and the spam folder. Under Issued Certificates, see whether the certificate shows as issued; if it does, you can resend the link from there.
  • I don't see the Send button → You need to open the template (click its name or Edit from the three-dot menu); the button is in the top-right corner of the editor.
  • I sent it to the wrong email → Under Issued Certificates, revoke access to that certificate from the three-dot menu and send it again to the right email.
  • I want the person's name on the certificate → The name is filled in from the contact's details; make sure the contact has the correct full name before sending.

Frequently asked questions

Can I send a certificate to someone who isn't enrolled in any course?

Yes. Manual sending works for any contact, even without members area access.

Can the learner download it later?

Yes. The link in the email opens the certificate preview with the download options.
