Documents and contracts

How to send a contract for signature and track its status

Open the document in Payments › Documents & Contracts, click Send and choose email or link. Then, on the dashboard, the Draft, Waiting for others and Completed tabs show the status, and View History shows who opened and signed it.

Updated on

Before you start

  • Have the document ready, with signature fields assigned to each recipient (see how to create a proposal or contract with e-signature).
  • Each recipient needs an email (or mobile number, to send by text).
Where to find it

Payments › Documents & Contracts › All Documents & Contracts

Step by step

Send the contract

  1. In the left menu, open Payments, click Documents & Contracts and open the document.
  2. Click Send.
  3. Check the recipients. If there's more than one, decide the signing order:
    • turn on Signing Order and drag names to reorder them: each person gets the email only after the previous one signs;
    • turn it off so everyone receives it at the same time.
  4. Choose the email template and, if you want, click edit to change the subject and body.
  5. Choose Send via Email or Share via Link (copy the link and send it, for example, from Conversations).
  6. Confirm.

Track the status

  1. In Payments › Documents & Contracts, choose All Documents & Contracts.
  2. Use the tabs to see each stage:
    • Draft: not sent yet;
    • Waiting for others: someone still needs to sign;
    • Completed: everyone has signed;
    • Payments and Archived.
  3. Hover over the customer icon on the document's row to see each recipient's status and the time of their last action.
  4. For the full log (sent, viewed, edited, signed), open the three-dot menu (⋮) and choose View History.

Remind people who haven't signed

  1. In the Waiting for others tab, find the document.
  2. Resend it from the dashboard to remind the remaining recipients.

Set a signing deadline (optional)

  1. In Payments › Documents & Contracts, open Settings › Document Settings.
  2. Under Expiration Settings, turn it on and enter how many days the document stays valid after it's sent.
  3. (Optional) Turn on the reminder email 1 day before it expires.
  4. For a single document, use Add Expiry from the editor's three-dot menu (⋮) before sending.

Tips

  • On the contact record in Contacts, the document management icon lists every sent and completed document for that customer, with options to download the PDF and copy the link.
  • Once signed, download the PDF from the document's three-dot menu (⋮).
  • If the customer confirmed another way, use Mark as Completed; if they backed out, Mark as Declined.

Common problems

  • The document stays in "Waiting for others" → At least one recipient still needs to sign. Check who in View History and resend.
  • The customer didn't get the email → Check the recipient's email, ask them to look in spam, or send it with Share via Link.
  • The second signer didn't receive anything → With signing order on, they only receive it after the first person signs.
  • The customer says the document has expired → Expired documents can't be signed, and the deadline can't be changed after sending. Create and send a new document.
  • I can't see the last action time → It's only available for documents sent after this feature was released. Use View History.

Frequently asked questions

Is the expiry based on the customer's time zone?

No. It's based on your account's time zone, counted from when the document is sent.
