How to create a proposal or contract with e-signature
In Payments › Documents & Contracts, click New and start a blank document, upload a PDF or use a template. Add your content, products and a Signature field assigned to the customer, then send it.
Updated on
Before you start
- The customer must exist in Contacts with an email (or mobile number, to send by text).
- To collect payment inside the document, connect a payment provider in Payments › Integrations and create your products in Payments › Products.
- If your contract is already written, have the PDF on your computer.
Where to find it
Payments › Documents & Contracts › New
Step by step
Create the document
- In the left menu, open Payments and click Documents & Contracts.
- Click New (top right) and choose:
- New Document: start from scratch in the editor;
- Upload Existing PDF: import your PDF and place fields on top;
- Import from Template Library: use a saved template.
- In the editor, add content by dragging elements: text, images, video, tables, product list and page breaks.
- To show pricing, add the product list element and choose the products.
- Use variables (for example, customer name, created date, reference number) so details fill in automatically when you send.
Add the signature
- Open Recipients and add everyone who needs to sign (the customer and, if needed, someone from your team).
- Drag a Signature field to where it should be signed. You can also add Date, Initials, Text Field or Checkbox.
- Click the field and, in the Properties panel on the right, under To be signed by, choose the right recipient.
- Repeat for each person who needs to sign.
Collect payment on signing (optional)
- Open the document's Payment Settings.
- Choose One-Time or Recurring payment.
- Turn on payment right after signing, or automatic invoice sending.
Send
- Click Send.
- Choose Send via Email (you can pick the email template and edit the subject and body) or Share via Link.
- Check the preview and send.
Tips
- To reuse it, open the document's three-dot menu (⋮) and choose Convert to Template, or use Clone to make a copy.
- Save blocks you use all the time (for example, clauses) with Add to Content Library.
- In Document Settings you can change the email sender, add attachments and redirect the customer to your own page after signing.
- Each signature creates a certificate with the signer's email, IP address and timestamp.
Common problems
- The customer can't find where to sign → The signature field isn't assigned to them. Open the field and, under To be signed by, choose that recipient.
- The payment button doesn't show in the document → Check that a payment provider is connected in Integrations, and that you added products and turned on payment in the document's payment settings.
- I changed the template but sent documents didn't change → That's expected: template changes only affect new documents. Sent documents stay as they were.
- I want to show different pricing for each customer → Documents don't support conditional content. Create a template for each version.
Frequently asked questions
Can I accept more than one payment method in a document?
Yes, if you have more than one provider connected (for example, Stripe and PayPal). The customer chooses when paying.
