How to start a workflow with data from another system (inbound webhook)

In the workflow, add the Inbound Webhook trigger and copy the URL it shows. Set up the other system to send JSON data to that URL, click Test Trigger, pick the received request as your mapping reference and save. Then map the data to the contact with the Create/Update Contact action.

Before you start

  • The other system (online store, event platform, external form, integration tool) must be able to send a webhook to a URL.
  • Data must be sent as JSON, using POST, GET or PUT.
  • To create or find the contact, the data must include an email or a phone number.
  • This is usually set up by whoever manages the other system. Have them on hand.
Where to find it

Automation › Workflows › (open the workflow) › Add New Trigger › Inbound Webhook

Step by step

1. Get the URL

  1. Go to Automation › Workflows and create a new workflow.
  2. Click Add New Trigger and choose Inbound Webhook.
  3. Copy the webhook URL shown. It's unique to this trigger.

2. Send a test request

  1. In the other system, set it up to send data to the copied URL (for example, whenever a new order comes in).
  2. Send a test request from that system.
  3. In the trigger, click Test Trigger. Received requests show up in the list (newest at the top; use Load More to see others).
  4. Pick the right request as your mapping reference and check its contents.
  5. Click Save Trigger.

3. Map the data to the contact

  1. After saving, the workflow suggests the Create/Update Contact action.
  2. Map each contact field (name, email, phone…) to the matching incoming data.
  3. Save the action and add the rest (tag, email, notification…). Webhook data can be used as custom values in messages and in If/Else conditions.
  4. Save and publish the workflow.

Tips

  • Use key names without spaces (for example, firstName or first_name).
  • If the data structure changes in the other system, go back to the trigger and pick the mapping reference again.
  • If the URL is shared by mistake, delete this trigger and create a new one: the old URL stops working.
  • If the data has no email or phone, you can remove the Create/Update Contact action and use only actions that don't need a contact (for example, an internal notification).

Common problems

  • No requests show up when I click Test Trigger → The other system hasn't sent anything to this URL yet. Make sure you copied the full URL and send a new test request.
  • The contact isn't created → The data has no email or phone, or those fields weren't mapped in the Create/Update Contact action.
  • Fields show up empty in messages → The data structure changed or the selected reference is outdated. Pick the mapping reference again and remap the fields.
  • The request is rejected → Send it as JSON with POST, GET or PUT. Other formats aren't accepted.

Frequently asked questions

Do I need to know how to code?

Not on the Elooo System side. On the other system's side, you need someone who knows how to set up the webhook.
