How to start a workflow when someone submits a form
In the workflow, click Add New Trigger, choose Form Submitted, add the form filter and pick one or more forms. Save, add your actions and publish.
Updated on
Before you start
- The form must exist in Sites › Forms and be live on your website, page or funnel.
- The form should ask for at least an email or phone number so the contact can be created and receive messages.
- You need access to the Automation module.
Where to find it
Automation › Workflows › (open the workflow) › Add New Trigger › Form Submitted
Step by step
- Go to Automation › Workflows and create a new workflow or open an existing one.
- Click Add New Trigger.
- Type "form" in the search and choose Form Submitted.
- Name the trigger, for example "Quote request submitted".
- Click Add filters and choose the form filter.
- Select the form from the list. You can select several: the trigger fires when any of them is submitted.
- If needed, add more filters (for example, the value of a specific answer on the form).
- Click Save Trigger.
- Add actions under the trigger with the + button (for example, Send Email and Send Internal Notification).
- Click Save, switch to Publish and save again.
- Test it: open the form on your site, fill it out with your own details and check that the actions happened.
Tips
- Without the form filter, the workflow fires for every form in your account. Always pick the form.
- Facebook lead ads, surveys and quizzes have their own triggers (for example, Survey Submitted). Pick the one that matches the source.
- If the same person can fill out the form several times and should get the messages each time, turn on Allow Re-entry in the workflow settings.
Common problems
- I filled out the form and the workflow didn't fire → Make sure the workflow is Published and saved, and that the form selected in the filter is exactly the one on your site (there may be copies with similar names).
- It fires for forms it shouldn't → The trigger is missing the form filter. Open the trigger, add the filter and save.
- It works the first time but not when the same person submits again → Turn on Allow Re-entry in the workflow settings.
- The contact enters but doesn't get the email → The form didn't ask for an email, or the contact has Do Not Disturb on. See the reason in Execution Logs.
Frequently asked questions
Can I use a form from another system?
