How to create or move an opportunity automatically in a workflow
In the workflow, click the + and choose Create/Update Opportunity. Pick the pipeline and stage, give the opportunity a name and value, and save. If the contact already has an opportunity in that pipeline, the same action moves it to the chosen stage.
Updated on
Before you start
- The pipeline and its stages must exist in Opportunities › Pipelines.
- The workflow needs a contact (for example, it starts with a form submission or a new contact).
Where to find it
Automation › Workflows › (open the workflow) › + › Create/Update Opportunity
Step by step
Create the opportunity
- Open the workflow and click the + where you want to create the opportunity.
- Choose Create/Update Opportunity.
- Select the pipeline (for example, "Sales").
- Select the stage where the opportunity should go (for example, "New lead").
- Enter the opportunity name. You can use custom fields, like the contact's name.
- Optionally fill in the value, the status (open, won, lost) and the assigned user.
- Click Save Action.
Move the opportunity later in the workflow
- Further down the workflow (for example, after a booking or a payment), click the + and choose Create/Update Opportunity again.
- Select the same pipeline and the new stage (for example, "Appointment booked").
- Click Save Action. When the contact reaches this step, the existing opportunity moves to that stage.
Finish up
- Click Save and publish the workflow.
- Test with a contact and check in Opportunities that the opportunity shows up in the right stage.
Tips
- To start workflows from opportunity changes, use the opportunity triggers (for example, Pipeline Stage Changed or Opportunity Status Changed).
- In workflows with opportunity triggers, the Allow multiple opportunities setting decides whether a contact enters once per opportunity or only for the first one.
- Pair this action with an internal notification to the owner so no new opportunity gets missed.
Common problems
- Duplicate opportunities are being created for the same contact → The workflow is running several times (re-entry on or several triggers) or the action's options allow duplicates. Review the action's options and Allow Re-entry in settings.
- The opportunity doesn't change stage → The action points to a different pipeline. Use the same pipeline the opportunity is in.
- My pipeline isn't in the list → It hasn't been created yet or was renamed. Check in Opportunities › Pipelines.
- The action fails in the logs → A required field is missing (pipeline, stage or name) or the workflow is running without a contact. See the error message in Execution Logs.
