Before you start
- You need permission to manage workflows in your account (an admin always has it).
- Plan a simple structure by purpose: for example "Marketing", "Sales", "After-sales", with subfolders per campaign or service inside.
Where to find it
Automation › Workflows › Create Folder
Step by step
Create a folder and a subfolder
- Open Automation › Workflows.
- Click Create Folder, type the name and click Save.
- To create a subfolder, click the folder to open it and repeat: Create Folder, name, Save. The new folder sits inside the previous one.
Move a workflow or a folder
- In the list, find the workflow or folder you want to move.
- Click the three-dot menu on the right of the row and choose Move to Folder.
- In the window that opens, browse to the destination folder and select it (or click New Folder to create one right there).
- Click Move Here.
Rename or delete a folder
- Click the folder's three-dot menu and choose Rename Folder; type the new name and save.
- To delete, choose Delete Folder and confirm. The workflows and subfolders inside aren't deleted: they move up one level.
Tips
- Avoid more than 2 or 3 folder levels; beyond that, things get harder to find.
- With many workflows, use the list's search and filters instead of browsing folder by folder.
- You can restrict who sees or edits each folder through folder permissions: useful for sensitive workflows.
- To move or delete several workflows at once, use the list's bulk actions.
Common problems
- I can't move into a folder → You don't have access to the destination folder. Ask an admin to grant you permission or make the move.
- The workflow disappeared after moving → It's in another folder. Use the list's search with the workflow's name.
- I deleted a folder and the workflows still show → That's expected: deleting a folder doesn't delete its contents, it just moves them up one level.
- A teammate can't see the folder → The folder has restricted permissions. Review the folder's or the user's permissions.
