How to publish, move or delete several workflows at once
Go to Automation › Workflows, tick the checkboxes of the workflows (or folders) in the list and, in the bar that appears, choose Publish/Draft, Move, Delete or Manage Permissions. Check the count in the confirmation dialog and confirm.
Updated on
Before you start
- You need permission to edit the workflows and access to the destination folder (when moving).
- Deleting is a strong action: review the list first. A deleted workflow can be restored for a limited time from the Deleted tab.
Where to find it
Automation › Workflows › (tick the checkboxes in the list) › bulk actions bar
Step by step
- Open Automation › Workflows.
- Optionally, filter the list or open a smart list to see only the workflows you care about.
- Tick the checkbox of each workflow (or each folder). You can select workflows or folders, not both at once.
- To select everything visible on the page, use Select All; that button's menu lets you pick only Published Workflows or only Draft Workflows.
- In the bar that appears, choose the action:
- Publish or Draft (workflows only): turns all selected ones on or off.
- Move: pick the destination folder.
- Delete: workflows or folders.
- Manage Permissions (folders only).
- Read the confirmation dialog: it shows how many items will be affected and any warnings. Confirm.
Tips
- To switch off every automation in an emergency: filter by published, Select All, Draft.
- Select All only covers the visible page. With many workflows, use filters or repeat page by page.
- After moving, workflows follow the permissions of the destination folder.
Common problems
- The actions bar doesn't appear → It only shows after you tick at least one item. If it still doesn't, you don't have permission for bulk actions.
- Publish/Draft is disabled → There are folders in the selection. Deselect the folders; this action is for workflows only.
- Manage Permissions is disabled → There are workflows in the selection. This action is for folders only.
- I can't move into the folder I want → You don't have access to the destination folder. Ask an admin.
- I deleted by mistake → Open the Deleted tab of the workflows list and click Restore.
