Client portal

How to invite customers to the portal and send passwordless access

Under Memberships › Client Portal › Dashboard, use Invite to client portal, Login Email (a button that signs them in without a password) or Generate Magic Link (direct access, expires in 15 minutes). To reset a customer's password, open their contact record under Actions › Client portal.

Updated on

Before you start

  • You need access to Memberships in your account.
  • The customer should exist as a contact under Contacts (you can also invite a new email; the contact gets created).
  • For the customer to see content after logging in, give them access to a course, group or another portal area.
Where to find it

Memberships › Client Portal › Dashboard › Actions

Step by step

Invite a customer to the portal

  1. Open Memberships › Client Portal and click Dashboard.
  2. Under Actions, choose Invite to client portal.
  3. Pick an existing contact or type a new email address.
  4. Send. The invitation goes out from your default sending domain, with the link for the customer to create their account.
  5. On the dashboard, Invited users shows how many invitations you've sent and Joined users how many customers have created an account.

Send a login email (no password)

  1. On the Dashboard, choose Login Email.
  2. Select one or several contacts.
  3. Send. Each customer gets an email with a button that signs them in to the portal without typing a password.
  1. On the Dashboard, click Generate next to Generate Magic Link.
  2. Choose the contact and, optionally, the destination app (courses, communities or affiliates): the customer lands straight in that area, already signed in.
  3. Copy the link and send it by email or message.
  4. The link expires after 15 minutes; a countdown shows the time left. Once it expires, the Generate button becomes available again to create a new link.

Reset the password or change the login email

  1. Open Contacts and open the customer's record.
  2. Under Actions, choose Client portal.
  3. Check the Client Portal email (the email the customer signs in with and receives portal notifications on; it's separate from the contact's primary email).
  4. Click Change password to set a new one, or Send reset link so the customer picks the password themselves.

Tips

  • To send magic links in automations (e.g. a welcome email after purchase), use the portal's custom values in workflows: the link is built automatically for each contact, with no need to generate it on the dashboard.
  • The login email is the simplest option for customers who dislike passwords: they can ask for it whenever they need.
  • Changing the contact's primary email doesn't change the portal email. If the customer changed their email, update the Client Portal email on the record too.

Common problems

  • The customer says the magic link doesn't work → It expired (15 minutes). Generate a new one on the dashboard and send it right away, or send a Login Email instead.
  • The customer didn't get the invitation → Ask them to check spam and confirm the email. Also make sure you have a verified sending domain under Settings › Email Services.
  • I changed the contact's email and the customer can't log in anymore → Portal access uses the Client Portal email field on the record, not the primary email. Check it under Actions › Client portal.
  • The customer logged in but sees nothing → They don't have access to any course, group or area yet, or the apps are turned off under Settings › App Permissions.

Frequently asked questions
