Contact record

How to use the contact record (details, activity and notes)

In Contacts, click a contact's name to open their record. On the left you edit details and tags, in the center you see conversations and history, and in the right panel you manage activity, tasks, notes, appointments, documents and payments.

Updated on

Before you start

  • You need access to Contacts.
  • To turn on auto-save for the whole account you must be an admin.
Where to find it

Contacts › Smart Lists › click the contact's name

Step by step

Open the record and edit details

  1. In the left menu, click Contacts, then click the contact's name in the list.
  2. In the left panel, change any details you need (name, email, phone, custom fields, tags).
  3. If auto-save is on, changes are saved when you leave the field. If not, a Save bar appears at the bottom: click it (or press Ctrl + S / Cmd + S).
  4. Use Hide Empty Fields and the field search to find what you need faster.
  5. In the DND tab you choose which channels the contact doesn't want to be contacted on; the Actions tab has shortcuts (for example, opportunities and workflows).

See the contact's history

  1. The center of the record shows messages, calls and notes with the contact, and you can send a new message right there.
  2. In the right panel, open Activity to see the event log: contact created, appointments, calls, forms and surveys submitted, pages visited, link clicks, payments and more.
  3. Click an event to see its details (date, time, source and link).

Add a note

  1. In the right panel, open Notes (paper-and-pencil icon).
  2. Click Add Note.
  3. Enter a Title and Description (for example, a call summary).
  4. (Optional) Choose a color for the note and add attachments.
  5. Click Save. Use search and sorting (newest or oldest first) to find notes later.

Other right-panel tabs

  • Associations: companies and other records linked to the contact.
  • Opportunities: this contact's deals.
  • Tasks: create and complete tasks about this contact.
  • Appointments: past and upcoming meetings.
  • Documents: files sent and received.
  • Payments: invoices, subscriptions and transactions.

Turn on auto-save (admins)

  1. On a contact record, make a change and open the three-dot menu.
  2. Click Enable Auto-Save and confirm. The setting applies to every user on the account.

Tips

  • Use the → and ← keys to move to the next or previous contact in the list, and Esc to collapse the right panel.
  • Panels remember how you left them (open or collapsed) the next time you open a record.

Common problems

  • I changed a detail and it didn't save → Auto-save isn't on. Click Save in the bottom bar (or Ctrl + S) before leaving the record.
  • The tags I picked didn't stick → In the tag selector you must click Apply; Cancel discards the change.
  • I can't find a field on the record → Hide Empty Fields may be on. Turn it off or use the field search.
  • I don't see Enable Auto-Save → It may already be on, or your user isn't an admin.
