Client portal

What the client portal is and how your customers sign in

The client portal is the login area where each customer sees, with one sign-in, courses, communities, affiliates, invoices, subscriptions and appointments. They sign up at the portal URL (or use the access they already had to a course), confirm their email with a code, and sign in with a password or an emailed code.

Before you start

  • The portal lives under Memberships › Client Portal; make sure you have access to Memberships in your account.
  • Copy the portal URL from Memberships › Client Portal › Dashboard to send it to customers.
  • For a customer to see anything inside, they need access to at least one course, community group, affiliate campaign or billing document.
Where to find it

Memberships › Client Portal › Dashboard › Portal URL

Step by step

What the client portal is

The client portal is a branded, login-only site where each customer signs in with their email and sees everything they have with you: the courses they're enrolled in, community groups, the affiliate program (links, commissions and payouts), invoices, estimates, subscriptions and booked appointments. One login covers everything, and the customer switches areas with the app switcher in the top-right corner. It works in the browser and in the mobile app.

Sign-up (customers without access yet)

  1. The customer opens the portal URL and clicks Sign up.
  2. They enter their full name and email and choose a password.
  3. They receive a verification code by email. The code expires after 15 minutes.
  4. They enter the code on the portal screen. The account is confirmed and they're in.

Anyone who already had access to a course or group doesn't need to sign up: they use the same email and password to log in to the portal.

Sign-in

  1. The customer opens the portal URL and clicks Log in.
  2. They choose one of two methods:
    • Password: enter email and password.
    • Email code: request a secure code, get it by email and type it into the portal. Useful when they don't remember the password.
  3. If more than one account shares the same email, the portal asks which one to open.

Inside the portal

  1. On first login, the customer completes their profile (name, contact details, preferences). This data is used across every area of the portal.
  2. To switch areas (courses, community, affiliates, billing…), they use the app switcher in the top-right corner.
  3. Under Manage Your Account they adjust language, notifications and, under billing, view invoices and subscriptions.

Tips

  • Instead of asking customers to sign up, you can invite them or send a passwordless login link from Memberships › Client Portal › Dashboard.
  • With the unified portal experience, a customer who has duplicate contacts in your account under the same email sees everything under one login, with no profile switching.
  • If your account allows duplicate contacts (Settings › Business Profile), the same email can create more than one portal account. If it doesn't, there's one account per email.
  • Ask customers to check their spam folder when waiting for the verification code.

Common problems

  • The customer didn't get the verification code → Ask them to check spam and confirm the email they typed. The code expires after 15 minutes; if it has, they just request a new one.
  • The customer forgot their password → On the login screen they choose email code login. No password needed. You can also send them a reset link from the contact record.
  • The customer logs in but can't see the course or group → Access hasn't been granted to that contact yet, or the matching app is turned off under Memberships › Client Portal › Settings › App Permissions.
  • The customer sees the "wrong" profile after logging in → They have more than one account with the same email. On the account picker they should choose the right one; if in doubt, merge the duplicate contacts in your account.

Frequently asked questions

Does the customer have to complete their profile?

Yes. Profile details are used across every area of the portal and keep everything working as expected.

Does the portal work on phones?

Yes, in the phone's browser and in the portal mobile app, with the same login details.
