Communities

What a community is and how to create your first group

A community is a private or public space where your customers talk in channels, take courses and join events. Go to Memberships › Communities, click Create Group, give it a name, URL and description, choose public or private and save. Then add your branding and, if you like, connect your own domain.

Updated on

Before you start

  • You need access to Memberships in your account.
  • Have a group name, a short description and, optionally, your logo and a cover image ready.
  • Decide whether the group will be public (anyone joins instantly) or private (you approve each join request).
  • If you want to use your own domain (e.g. community.yourcompany.com), you need access to that domain's DNS panel.

Step by step

What a community is

A community is a group space where your customers, students or members talk to each other and to you. Each group has discussion channels (such as "Announcements", "Questions" or "Introductions"), a home timeline with every post, a Learning tab with courses, an Events calendar, a leaderboard with levels and points, and member-to-member chat. Members sign in through the client portal, on a computer or in the mobile app. Use it for support, to build belonging around a course or program, to launch products, or simply to keep your customers talking with you in a space you own instead of a social network.

Create the group

  1. In the left menu, open Memberships and click Communities.
  2. Under Groups, click Create Group.
  3. Enter the group name: this is what members see when they join.
  4. Check the URL (the last part of the group link). You can change it later under Settings › Details › Discovery; the old link redirects to the new one.
  5. Write a short description explaining who the group is for and what they'll find.
  6. Choose the privacy: public or private. You can change it later under Settings › Details.
  7. Click Create Group. You land in the group as its owner.

Add your branding

  1. Inside the group, open Settings and go to the Branding tab.
  2. Upload your logo, cover image and favicon (the icon shown in the browser tab).
  3. Click Save. You can swap the images any time.

Connect your own domain (optional)

  1. In Settings, open the custom domain option.
  2. Enter the domain or subdomain you want to use (e.g. community.yourcompany.com).
  3. In your domain registrar's panel, create the DNS record with the value shown on screen.
  4. Back in Elooo System, click Update Domain.
  5. Wait for DNS propagation. Until it completes, the group stays reachable at the default address.

Next steps

  1. Create the channels members will talk in (+ Add Channel in the left panel).
  2. Invite your first members with Invite Members.
  3. If you have courses, link them on the Learning tab; if you run live sessions, schedule them under Events.

Tips

  • Start with 3 or 4 clear channels (e.g. Announcements, Introduce Yourself, Questions, Wins). Lots of empty channels push members away.
  • The group's automatic emails (invitation, request approved or declined, new comment, new event, new course) are configured under Memberships › Client Portal › Settings › Email Settings › Communities. Each email has a default template you can preview and edit.
  • Those emails go out from the default sender set under Settings › Email Services. Make sure you have a verified sending domain.
  • When a member opens the community, the system takes them to a group they already belong to or the one they visited last, not to a random group.

Common problems

  • I can't see Communities in the menu → Your user doesn't have permission for Memberships. Ask the account admin to enable it under Settings › My Staff.
  • The custom domain doesn't open → The DNS record hasn't propagated yet or has the wrong value. Check the record at your registrar and wait; propagation can take up to 48 hours.
  • I changed the logo but still see the old one → That's browser cache. Open the group in an incognito window or clear the cache.
  • Members don't get the group emails → Check the communities email settings in the client portal and the sender under Settings › Email Services.

Frequently asked questions

Can I switch a group from public to private after creating it?

Yes. Inside the group, go to Settings › Details, choose the privacy and save. When you switch to private, earlier content stays visible only to current members.

Can I have several groups in the same account?

Yes. Each group has its own channels, members, courses and events. Members switch groups with the selector in the top-left corner.

Can I delete a group?

The owner can deactivate the group in its settings. Think it through first: members lose access to the content.
