Before you start

  • You need access to Contacts to apply tags.
  • To create, edit or delete tags in the main tag list, you need access to Settings.
  • Tags group contacts (for example, "vip-customer", "orthodontics", "came-from-instagram") and can start automations in Workflows.
Where to find it

Settings › Tags › New Tag

Step by step

Add or remove tags on a contact

  1. In Contacts, click the contact's name to open their record.
  2. In the left panel, find Tags and click the field to add or edit.
  3. Search for the tag (or category) and check the ones you want to add. Uncheck the ones you want to remove.
  4. Click Apply to save. Clicking Cancel discards your changes.

Create a tag

  1. Go to Settings › Tags.
  2. Click New Tag.
  3. Type the tag name.
  4. If your account has tag categories and colors, choose a Category (you can create a new one right there), an optional description and a Color. Check the preview.
  5. Click Create Tag.

Organize tags into categories

  1. In Settings › Tags, click Create Category, give it a name (for example, "Source" or "Treatment") and save.
  2. Select the tags you want to organize and click Move to Category.
  3. Choose the destination category and confirm.

Tips

  • Use short, lowercase names without spaces (for example, website-lead). That way you won't end up with "VIP Customer" and "vip customer" as separate tags.
  • Use one color per type of tag (source, stage, interest) so you can recognize them at a glance.
  • To add or remove a tag on many contacts at once, use bulk actions.

Common problems

  • The tag wasn't saved on the contact → After choosing tags you must click Apply. Closing the selector without applying discards the change.
  • I don't see categories or colors → This feature may not be turned on for your account. Tags still work, just uncategorized and gray.
  • I deleted a category and my tags disappeared → Tags aren't deleted: they move to No Category. Look for them there.
  • I have duplicate tags with similar names → Pick one, apply it to the other tag's contacts with a bulk action, then delete the extra tag in Settings › Tags.

Frequently asked questions

Does changing a tag's color or category affect automations?

No. Categories and colors are just for organizing and viewing; workflows keep working with the tag name.

Can a contact have several tags?

Yes, a contact can have as many tags as you need.
