How to associate object records with contacts, companies and opportunities
First create the association under Settings › Objects › (object) › Associations › Create Association (e.g. Property ↔ Contact, label "Buyer"). Then, on the record, under Related Objects, click Add, search for the contact, pick the label and click Associate.
Updated on
Before you start
- The object already exists (e.g. Properties) and has or will have records.
- Creating the association type requires an administrator; linking records can be done by any user with access.
- Think in roles: a property can have an "Owner", an "Interested buyer", an "Agent". Each role is an association label.
Where to find it
Settings › Objects › (object) › Associations › Create Association
Step by step
Create the association type (once, administrator)
- Under Settings › Objects, click your object (e.g. Properties).
- Open the Associations tab and click Create Association.
- Choose which record type to link to: Contact, Company, Opportunity or another custom object.
- Choose the label type:
- Single label: the same name on both sides (e.g. "Related").
- Pair of labels: a different name on each side (e.g. "Owner" ↔ "Owner's property").
- Configure the relationship: one-to-one, one-to-many or many-to-many (a buyer can be interested in several properties and a property can have several interested buyers). Optionally set a record limit per side.
- Review the preview and click Save. You can create up to 10 labels between the same pair of objects.
Link a record to a contact (or company, opportunity)
- In the left menu, open the object and click the record (e.g. the property).
- On the record, find the Related Objects section.
- Next to the type you want to link (e.g. Contacts), click Add.
- Search for the contact by name, email or phone and select it.
- Choose the label (e.g. "Interested buyer").
- Click Associate. The link shows immediately on both sides: on the property record and on the contact record.
Link from the contact or opportunity record
- Open the contact (or opportunity) and go to the Associations / Related Objects section.
- Click Add next to the object (e.g. Properties), search for the record, choose the label and confirm.
Remove an association
- In the Related Objects section, hover over the link you want to remove.
- Click remove and confirm. Both records still exist; only the link is gone.
Tips
- On pipeline cards and in the Opportunities list view, you can show associations as a column or card field via Manage Fields › association label.
- Associations power filters, smart lists, reports and workflows (e.g. "when the property becomes Sold, update the Buyer contact").
- Real estate example: a Properties object linked to contacts with the labels "Owner", "Interested buyer" and "Inspector"; filter by location and price and instantly see who's interested in each home.
- To link many records at once (e.g. after an import), use an object workflow with the Associate Records action, which looks up the contact by email or phone.
Common problems
- There's no "Add" for contacts on the record → No association exists yet between that object and Contacts. Create one under Settings › Objects › (object) › Associations.
- I can't link more contacts to the record → The relationship is one-to-one or has a limit set. Edit the association in the object's settings and change the type or limit.
- The label isn't what I wanted → You can rename the label in the object's settings without losing existing links.
- I deleted the record and its links vanished → That's expected: deleting a record removes its associations; the contacts still exist.
Frequently asked questions
Can I link one object to another object?
Yes. When creating the association, choose the other custom object as the target (e.g. Properties ↔ Buildings).
Does the link show on both sides?
Yes. When you associate a property with a contact, the property appears on the contact record and the contact on the property record, each with its own label.
