How to import custom object records from a CSV

In the left menu, open the object (e.g. Properties), click Import, upload the CSV, choose the mode (Create, Update or Create & Update), map the primary field first and then the rest, and click Start Import. Track, pause or cancel it under Contacts › Bulk Actions.

Updated on

Before you start

  • The object and its fields must already exist: the import doesn't create new fields.
  • Save your spreadsheet as a CSV with a header row and one column per field. The primary field column is required.
  • If you're updating existing records, include a column with a unique field (e.g. license plate, policy number) so the system knows which record to update.
  • Clean duplicates out of the file before importing: rows with repeated values in unique fields are rejected.
Where to find it

Left menu › (object, e.g. Properties) › Import

Step by step

Import the file

  1. In the left menu, open the object you want to import into (e.g. Properties).
  2. In the top right, click Import.
  3. Select the target object and upload the CSV file.
  4. Choose the import mode:
    • Create: only creates new records (a brand-new list).
    • Update: only changes records that already exist.
    • Create & Update: creates the new ones and updates the existing ones (mixed file).
  5. If you mapped more than one unique field, choose which one identifies duplicates.
  6. Map the fields: the primary and required fields first, then the rest (including owner and followers if you want).
  7. If you need empty CSV cells to clear values already saved, turn on Update empty values (doesn't apply to the primary or required fields).
  8. Click Start Import.

Track the import

  1. Open Contacts › Bulk Actions and pick the custom objects tab.
  2. Watch the progress; you can pause, resume or cancel the import.
  3. Click the import to see its stats and, in the Errors and Warnings tabs, each rejected row with guidance on how to fix it.

Tips

  • Test with 5 to 10 rows first and check the created records; only then import the full file.
  • Dates and numbers: use one consistent format throughout each column.
  • To automatically link each imported record to the right contact (e.g. the pet's owner), first create an object workflow with the Associate Records action that looks up the contact by the email included in the CSV; publish the workflow before importing.
  • You can only import one object per file.

Common problems

  • Rows rejected with "value already exists" → A unique field has that value on another record. Fix the file and re-import only the rejected rows.
  • Records got duplicated → You imported a file with existing records in Create mode. Use Update or Create & Update with a unique field mapped.
  • I canceled the import but some records got in → Canceling stops the rest; rows already processed stay saved. Delete them from the object's list (multi-select) if needed.
  • Empty CSV cells didn't clear the old values → By default, empty cells are ignored. Turn on Update empty values before starting.
  • The field I want to map isn't listed → The field doesn't exist on the object yet. Create it under Settings › Custom Fields and run the import again.

Frequently asked questions

Can I import associations in the same file?

Not directly. Include an identifier column in the CSV (the contact's email or phone) and use an object workflow with the Associate Records action to create the links as records come in.

Where do I see past imports?

Under Contacts › Bulk Actions, in the custom objects tab.
