How to show your business tax ID and the client's tax ID on invoices

Create a "Tax ID" custom field on contacts (Settings › Custom Fields) and a custom value with your business tax ID (Settings › Custom Values). Then go to Payments › Invoices & Estimates › Settings › Customize Layout and add both to the business and contact information.

Updated on

Before you start

  • You need permission to manage Settings and Payments.
  • Have your business tax ID (VAT, EIN, etc.) handy.
  • Each client's tax ID is stored on their contact record; it only shows on the invoice if it's filled in.
Where to find it

Payments › Invoices & Estimates › Settings › Title, Terms and Layout › Customize Layout

Step by step

1. Create a "Tax ID" field on contacts

  1. In the left menu, open Settings and click Custom Fields.
  2. Click Add Field.
  3. Under Text Input, choose Single Line and click Next.
  4. Name it Tax ID, choose Contact as both the object and the group, and click Save.

2. Create the value with your business tax ID

  1. In Settings, click Custom Values.
  2. Click Custom Value.
  3. Name: Business Tax ID; value: your company's tax number. Click Create.

3. Put both on the invoice layout

  1. Open Payments › Invoices & Estimates and click Settings.
  2. Under Title, Terms and Layout, scroll to Invoice Layout and click Customize Layout.
  3. On the Layout tab, open Business Information, click Add Custom Value and pick Business Tax ID.
  4. Open Contact Information, click Add Custom Field and pick Tax ID.
  5. Check the preview and click Save changes.

4. Fill in the client's tax ID and invoice

  1. In Contacts, open the client's record and go to the Additional Info tab.
  2. Fill in the Tax ID field and save.
  3. Create the invoice from the record (Actions › Create Invoice on the Payments tab) or from Payments › Invoices & Estimates. The client's and your business's tax IDs appear automatically.

Tips

  • Ask for the tax ID on your booking or order form, mapped to this custom field, so the record is filled in with no manual work.
  • The same method works for other fixed legal details (company registration, etc.): one custom value per detail, up to 3 on the layout.

Common problems

  • The invoice goes out without the client's tax ID → The Tax ID field is empty on that contact's record. Fill it in and resend the invoice.
  • My business tax ID doesn't show → Make sure you added the custom value under Business Information in the layout and saved the changes.
  • I can't add the value to the layout → The layout allows up to 3 business custom values; remove one you don't use.
  • Older invoices still have no tax ID → The layout applies to new invoices and PDFs generated from now on; resend or regenerate the PDF.

Frequently asked questions

Does the Tax ID field show on every client?

Yes. Creating the custom field on the Contact object adds it to every record, empty until filled in.

What about business clients with their own tax ID?

Fill in the tax ID on the contact record that receives the invoice.
