How to create a WhatsApp message template and track its approval

In Settings › WhatsApp › Templates, click Create Template, choose a name, category, and language, write the text with its variables, and submit it. Meta reviews the template and its status (in review, active, rejected…) shows in the list.

Before you start

  • WhatsApp must be connected to your account in Settings › WhatsApp.
  • Know what the message is for, so you can pick the right category:
    • Marketing: promotions, announcements, invitations.
    • Utility: confirmations, reminders, updates the customer asked for.
    • Authentication: verification codes.
  • Have realistic sample values ready for each variable (for example, a name and a date).
Where to find it

Settings › WhatsApp › Templates › Create Template

Step by step

  1. Open Settings › WhatsApp and go to the Templates tab.
  2. Click Create Template.
  3. In Template Name, use only lowercase letters and underscores (for example, appointment_reminder).
  4. Choose the Category (Marketing, Utility, or Authentication) and the Language.
  5. If you want, add a Header with text, an image, a video, or a document.
  6. Write the main message in the Body. For details that change from customer to customer, click Add Variable: you'll see {{1}}, then {{2}}, and so on.
  7. For each variable, enter a realistic sample value. Meta uses it to see what the finished message will look like.
  8. If you want, add a short Footer and buttons (quick reply, visit website, call phone number, copy offer code, or marketing opt-out).
  9. Fix any fields flagged in red and click Create. The template is sent to Meta.
  10. Go back to Settings › WhatsApp › Templates to track its status.

What each status means

  1. In Review: Meta is still reviewing the template.
  2. Active – Quality Pending: approved and ready to send; there isn't enough customer feedback yet.
  3. Active – High / Medium / Low Quality: approved; quality depends on how customers react. With low quality, it's at risk of being paused.
  4. Rejected: not approved. Check the reason before you fix it.
  5. Paused: can't be sent for now because of quality issues.
  6. Disabled: no longer available to send.
  7. Appeal Requested: you asked for another review and are waiting for a decision.

Fix or duplicate a template

  1. In the Templates list, click the three dots next to the template.
  2. Choose Edit template to fix and resubmit it, or Clone template to make a copy with a different name.
  3. Make your changes and click Create (or save) to submit.

Tips

  • The Body can't start or end with a variable. Write "Hi {{1}}, your appointment is confirmed." instead of "{{1}} your appointment is confirmed."
  • Use variables in order ({{1}}, {{2}}, {{3}}) without skipping numbers, and don't use too many variables for a short message.
  • Always create templates in Elooo System. Templates created directly in Meta after connecting may not show up for sending or in workflows.

Common problems

  • I can't save the template → Check the flagged field: variables must use the {{1}} format, with two braces on each side, and the Body can't start or end with a variable.
  • The template was rejected → Read the reason. Common causes are the wrong category (a promotion marked as Utility), variables out of order, asking for sensitive information, prohibited content, or a template that's almost identical to an existing one. Fix it with Edit template and submit again.
  • The template changed to "Paused" or "Disabled" → Many customers blocked or reported the message. Only send to people who asked to hear from you, make the text more useful, and create a new template if needed.
  • The template exists in Meta but not in the CRM → Only templates imported during the initial connection and templates created in Elooo System show up. Create it in Settings › WhatsApp › Templates.

Frequently asked questions

If the template saves without errors, will Meta definitely approve it?

No. The system only checks the variable format. Meta also reviews the category, content, and usage policies.

Why do I need templates?

To message a customer who hasn't messaged you in the last 24 hours. Within those 24 hours, you can reply with free-form text.
