How to issue badges automatically with a workflow

In Automation › Workflows, add the Issue Badge action, choose an active badge and publish: the badge is awarded to the contact when they reach that action. To react to the award (congratulations, tag, pipeline stage), build another workflow with the Badge Issued trigger.

Updated on

Before you start

  • The badge must already be created and active in Memberships › Certificates (badges use the same builder as certificates).
  • Know which event earns the badge: course or module completed, purchase, form submitted, field updated.
  • You need permission for Automation.
Where to find it

Automation › Workflows › (open the workflow) › + › Issue Badge

Step by step

Issue the badge inside a workflow

  1. Open Automation › Workflows and create a new workflow or open an existing one.
  2. Set the trigger (for example, product completed or payment completed) and, optionally, filters and conditions so the badge only goes out in the right cases, such as a minimum quiz score.
  3. Click the + where you want to award the badge and search for the Issue Badge action.
  4. From the dropdown, choose the badge to award. Only active badges in your account are listed.
  5. Save the action, publish the workflow and save. From now on, whenever a contact reaches this action, they get the badge with no manual step.

React when a badge is issued

  1. Create a second workflow and choose the Badge Issued trigger.
  2. Select the badge that should start the workflow. You can add filters (tags, contact fields) to narrow it down.
  3. Add the follow-up actions: congratulations email or SMS, add a tag, update a field, move in the pipeline, create a task or start another workflow.
  4. Publish. The trigger fires every time that badge is issued, whether by the workflow action or manually.

Tips

  • You can add several Issue Badge actions to the same workflow to award different badges at different stages.
  • Several workflows can use the same badge in the Badge Issued trigger, each with its own follow-up.
  • Test with one of your own contacts before publishing for real students: confirm the badge was issued and the follow-up went out.
  • Use the Badge Issued trigger to offer a discount, a bonus, or enrollment in a more advanced course.

Common problems

  • The badge isn't in the action's list → The badge doesn't exist or isn't active. Create or activate it in Memberships › Certificates and come back to the workflow.
  • The contact already had the badge and the workflow didn't issue it again → That's normal: each badge is awarded only once per contact. The workflow moves on to the next action without duplicating.
  • The follow-up workflow didn't fire → Make sure the Badge Issued trigger has the right badge selected and the workflow is published. Check the execution history.
  • The badge went to someone who shouldn't have it → Conditions are missing before the action. Add an If/Else with the required rule (for example, quiz passed) before Issue Badge.
