How to send a bulk email to the contacts linked to object records

In the object's list (e.g. Policies), select the records, click Send email in the bulk action bar, choose the association label (e.g. "Policyholder") and who receives it (most recent, earliest or all), write the email with record fields and send. Results under Contacts › Bulk Actions.

Updated on

Before you start

  • The object must have an association with Contacts set up (e.g. Policy ↔ Contact "Policyholder") and the records must have linked contacts.
  • Elooo System's email service must be configured, with a sender set.
  • Contacts only receive the email if they have a valid address and email isn't turned off for them.
Where to find it

Left menu › (object, e.g. Policies) › (select records) › Send email

Step by step

Pick the records

  1. In the left menu, open the object (e.g. Policies).
  2. Use Advanced Filters or a smart list to narrow down to the right group (e.g. Expiry date in the next 30 days).
  3. Check the records whose contacts should get the email (or the header checkbox to select everything visible).

Define who receives it

  1. In the bulk action bar, click Send email.
  2. Check the number of selected records and click Confirm and proceed.
  3. Enter an action name (internal only, e.g. "October renewal notice").
  4. Under Association label, pick one or more labels (e.g. "Policyholder"). Only contacts linked through those labels qualify.
  5. Under Email recipients, choose Most recently associated contact, Earliest associated contact or All associated contacts.

Write and send

  1. Fill in the sender, the subject and, optionally, the pre-header.
  2. Choose how to build the email: Quick Compose, Smart Builder or existing template.
  3. To personalize, insert merge fields from the contact (name) and from the object record (e.g. policy number, expiry date, property name): each contact's email shows the data of the record they're linked to.
  4. Add attachments if needed and send a test email.
  5. Under Additional settings, turn on click tracking or UTM tracking if you want.
  6. Choose delivery: Send all at once, at a scheduled time or in batch mode.
  7. Review, complete the consent acknowledgment if asked, and click Send email.

Check the results

  1. Open Contacts › Bulk Actions and click the action.
  2. See accepted, delivered, opened, clicked, replied, unsubscribed, bounced, failed and skipped.
  3. For fuller reporting, go to Marketing › Emails › Statistics and filter the source by bulk action campaigns.

Tips

  • A contact linked to several selected records (or through several labels) gets only one email.
  • The final recipient list is resolved when the action runs; the exact count appears in the action's statistics.
  • Save the filter as a smart list (e.g. "Policies renewing in 30 days") to repeat the send every month in two clicks.
  • Companies work the same way from Contacts › Companies; there, the contact association is selected automatically.

Common problems

  • "Send email" isn't in the action bar → The object has no association with Contacts yet. Create one under Settings › Objects › (object) › Associations.
  • I sent to 50 records but fewer emails went out → Some records have no contact linked with the chosen label, or the contacts have no valid email / are turned off. Check the skipped count on the bulk action.
  • Object fields come out blank in the email → The merge field doesn't match the linked record, or the record has no value in that field. Send a test email and check the record.
  • Some contacts got it twice → You ran the action twice. Within a single action, contacts are always de-duplicated.

Frequently asked questions
