How to send a document or contract by SMS

Open the document in Payments › Documents & Contracts, click Send and choose SMS or Email + SMS, picking an SMS snippet as the message. For the whole account, set the default channel under Settings › Customer Notifications. The contact still needs an email address.

Updated on

Before you start

  • The contact needs a correct mobile number and, even for SMS, a valid email address (it's used for the document's history and tracking).
  • Have SMS sending working in your account (a number connected to the Elooo System phone system).
  • Create at least one SMS snippet with the text that goes with the link (see below).
Where to find it

Payments › Documents & Contracts › (open the document) › Send › SMS or Email + SMS

Step by step

Create the message (SMS snippet)

  1. Open Marketing › Snippets and click New Snippet.
  2. Choose the SMS type.
  3. Write a short, clear text, for example: "Hi! Your document is ready. Please review and sign it here." The document link is included when sending.
  4. Save.

Send a document by SMS

  1. Open Payments › Documents & Contracts and open the document.
  2. Click Send.
  3. Check the recipient details shown (mobile number and email).
  4. Choose the channel: Email, SMS or Email + SMS.
  5. If you chose SMS, select the SMS snippet to use.
  6. Review and send.

Set the default channel for the whole account

  1. In Payments › Documents & Contracts, open Settings › Customer Notifications.
  2. Under the document notification options, choose SMS only or Email + SMS.
  3. Save. The "document received" notification follows this default (it can be changed at send time); the "document signed" notification always follows the global setting.

Send by SMS from a workflow

  1. In Automation › Workflows, add the Send Documents & Contracts action.
  2. Pick the template and the available sending channel.
  3. Save and publish. Workflow sends use the default SMS text configured for documents.

Tips

  • Use SMS when speed matters (proposals with a deadline, clients who don't open email) and Email + SMS to maximize visibility.
  • Keep the snippet short: the client should understand immediately what to do.

Common problems

  • The document stayed in Drafts and no SMS went out → The contact has no email. Add the email on the contact record and send again.
  • I can't pick a snippet → There's no SMS-type snippet yet. Create one in Marketing › Snippets.
  • The client didn't get the SMS → Check the number on the contact record and that SMS is active in your account. Alternatively, send by Email + SMS.
  • The "document signed" SMS goes through the wrong channel → That notification always follows the global setting under Customer Notifications. Adjust it there.

Frequently asked questions

Why does SMS still require an email?

The contact's email is the identifier used for tracking, version history and the document lifecycle. Without it, the document stays in Drafts.
