How to edit, reorder or delete pipeline stages
In Opportunities › Pipelines, open the pipeline's three-dot menu and choose Edit. There you can rename stages, reorder them with the arrows, add or delete stages and set colors. When deleting a stage, you choose where its opportunities go.
Updated on
Before you start
- You need a user with permission to edit pipelines (usually an admin).
- Reordering pipelines in the list is admin-only and applies to all users in the account.
- Automations that already use the pipeline keep working after you edit stages, but check any workflows that point to a stage you plan to delete.
Where to find it
Opportunities › Pipelines › ⋮ › Edit
Step by step
Open the pipeline for editing
- In the left menu, click Opportunities and open the Pipelines tab.
- On the pipeline's row, click the three-dot menu (⋮) and choose Edit.
Rename or reorder stages
- Click the stage name and type the new one. It can't match another stage in the same pipeline.
- To change the order, use the up and down arrows next to the stage.
- To add a stage, click Add stage and type its name.
- Click Save.
Delete a stage without losing opportunities
- Click the trash icon next to the stage.
- Choose the destination stage for the opportunities currently in the stage you're deleting.
- Confirm. All opportunities in that stage are moved automatically to the stage you chose.
Set stage colors
- With the pipeline open for editing, go to the stages section.
- Pick a color for each stage.
- Choose how the color is shown: Default (no color), Colored dot or Background tint.
- Click Save. Colors appear on the board, in the list, on cards and on the contact record, for every user who can see that pipeline.
Reorder pipelines
- In Opportunities › Pipelines, hover over the dotted handle on the left of the pipeline.
- Drag the pipeline up or down and drop it where you want.
- Alternatively, click ⋮, choose Move to position, enter the position number and click Apply. The order is saved automatically.
Tips
- Before deleting a stage, filter the board to see how many opportunities are in it and pick the destination carefully.
- Give colors a fixed meaning for the whole team, for example green for final stages and yellow for stages that need follow-up.
- Each stage's funnel and pie chart icons control whether it appears in the dashboard charts.
Common problems
- The Edit option doesn't appear → Your user doesn't have permission to manage pipelines. Ask your account admin.
- I can't save the new stage name → Another stage in the same pipeline already has that name. Choose a different one.
- I can't drag pipelines to reorder them → This is admin-only. Ask an admin to do it.
- A workflow stopped moving opportunities → It may point to a stage you deleted. Open it in Automation › Workflows and pick the new stage.
Frequently asked questions
Do I lose opportunities if I delete a stage?
No. When deleting, you choose another stage and all opportunities move there.
Are the colors I choose only visible to me?
No. Stage colors are set on the pipeline, so everyone with access to it sees the same ones.
