How to save, view and delete a customer's card on file

In Contacts, open the customer's record, click the $ (Payments) icon and under Actions choose Add Card on File to save a new card or Manage Cards to see the last digits, expiry date and delete. Saved cards are available on that customer's invoices, transactions, estimates and subscriptions.

Updated on

Before you start

  • You need a payment provider connected under Payments › Integrations.
  • Your user needs permission to manage Payments.
  • Card data is not stored in Elooo System: it stays with the payment provider, which only shows the last digits and expiry date.
  • For cards attached to active subscriptions, have the new card ready before deleting the old one.
Where to find it

Contacts › (customer record) › $ icon (Payments) › Actions

Step by step

Save a new card

  1. In the left menu, open Contacts and open the customer's record.
  2. Click the $ (Payments) icon on the record.
  3. Under Actions, click Add Card on File.
  4. Enter the card number, expiry date, CVV and country.
  5. Check the details and click Add Card. This works in both live and test mode.

View saved cards

  1. Under Actions, click Manage Cards.
  2. The list shows each card's last digits, expiry date and brand (Visa, Mastercard…). Live-mode and test-mode cards appear in separate lists.

Delete a card

  1. In Manage Cards, find the card to remove.
  2. Click Delete next to it.
  3. Confirm in the prompt. If the card is attached to an active subscription, the prompt warns you: deleting it leaves that subscription with no payment method for automatic charges.

In the mobile app

  1. Open Contacts, pick the customer and open the Payments tab.
  2. Tap Manage Cards, then New card to save one; to remove a card, swipe it left and confirm.

Tips

  • When you create a transaction, invoice, estimate or in-person charge for this customer, saved cards show up as a payment option.
  • To change the card on a subscription, save the new one first, then update the subscription to use it (see the article on managing subscriptions).

Common problems

  • The card list is empty → Cards are fetched from the connected payment provider. Make sure you're looking at the right list (live or test mode) and that the card was saved with that provider.
  • I deleted the card and the subscription stopped charging → The subscription has no payment method now. Save a new card and update the subscription to use it.
  • I can't see the $ icon on the record → Your user doesn't have permission for the Payments area. Ask an admin.
  • The card is declined when saving → Check the number, expiry, CVV and country; if it keeps failing, ask the customer for another card.

Frequently asked questions

Does Elooo System store the full card number?

No. For compliance, the number stays only with the payment provider; Elooo System shows just the last digits and expiry date, fetched fresh each time you open the list.

Can I save several cards for the same customer?

Yes. They all appear under Manage Cards and you can pick which one to use for each charge.
