How to update, pause or cancel a customer's subscription
In Payments › Subscriptions, find the customer's subscription and open the three-dot menu. From there you can Update (products, quantities, dates), Pause, Resume, Cancel, or send a link for the customer to change their card.
Updated on
Before you start
- The subscription must appear in Payments › Subscriptions (subscriptions created through order forms or manually from the contact record).
- The actions available depend on the payment provider, the subscription status and your Payments permissions.
- You can only update subscriptions that are Scheduled, Trialing or Active, on Stripe, Square, NMI or Authorize.net.
Where to find it
Payments › Subscriptions › ⋮
Step by step
Change products, quantities or dates
- In the left menu, open Payments and click Subscriptions.
- Find the customer's subscription, open the three-dot menu (⋮) and click Update (it's also under Actions on the subscription details page).
- Make your changes:
- + to add a product (only products with the same billing frequency and currency are shown);
- the delete icon to remove a product;
- the Quantity field to change quantities;
- Start Date (if still scheduled) or End Date (if active).
- Review the preview with the new total and confirm. Changes apply from the next billing cycle.
Pause a subscription
- From the subscription's three-dot menu (⋮), choose the pause option.
- Choose the duration: Indefinite (until you resume it) or Custom Date (resumes on that date).
- Choose how invoices are handled during the pause: Draft (kept to handle later) or Mark as void.
- Review and confirm.
Resume a paused subscription
- From the paused subscription's three-dot menu (⋮), choose Resume.
- Confirm. A dated pause can also be resumed early.
Cancel a subscription
- From the subscription's three-dot menu (⋮), choose Cancel.
- Read the confirmation and confirm. The subscription changes to Canceled and stops charging the customer.
Ask the customer to change their card
- From the subscription's three-dot menu (⋮), choose Share Payment Update Link.
- Copy the link and send it in a message, or use the email option. The customer updates their card themselves, securely.
Tips
- Changes don't move the billing date or affect past payments, and there's no proration for now: the new total applies on the next charge.
- The change history is kept on the subscription details page.
- If you cancel in the Stripe dashboard, the status also changes to canceled in Elooo System.
Common problems
- The pause or update option is missing → Check the subscription status (canceled, overdue or unpaid subscriptions can't be changed), the payment provider and your permissions in Settings › My Staff.
- A customer's monthly charge isn't in the list → Recurring invoices live in Invoices & Estimates, and Memberships subscriptions don't appear here. If the first payment failed, the subscription was never created.
- The customer wants their money back after canceling → Canceling doesn't refund anything. Issue a refund in Payments › Transactions.
- A PayPal subscription isn't updating its status → PayPal subscriptions don't sync status the way Stripe does. Check the PayPal dashboard.
