How to reschedule or cancel an appointment
In Calendars, open the Appointment List View, click the appointment's three-dot menu and choose Reschedule, or change its status to Cancelled. To let clients reschedule or cancel on their own, turn those options on in the calendar settings.
Updated on
Before you start
- You need access to the calendar the appointment is on.
- To let clients reschedule or cancel themselves, you need permission to edit the calendar settings.
Where to find it
Calendars › Appointment List View › ⋮ › Reschedule
Step by step
Reschedule an appointment
- In the left menu, open Calendars.
- At the top, choose the Appointment List View tab.
- Find the appointment (use search or the calendar, user or date filters).
- Click the appointment's three-dot icon (⋮) and choose Reschedule.
- Pick the new date and time and save. It stays the same appointment; only the time changes.
Cancel an appointment
- In the Appointment List View, find the appointment.
- Click that row's Status menu and choose Cancelled.
- The change is saved right away. If the cancellation notification is on, the client is notified.
Send the client a reschedule link
- Open the appointment (from Calendar View or the list).
- Click Appointment Actions and choose Generate Reschedule Link.
- Click Copy Link and send it to the client by WhatsApp, SMS or email.
Let clients reschedule or cancel on their own
- In Settings › Calendars, edit the calendar.
- Open the Notifications and Additional Options section.
- Under Cancellation and Reschedule Policy, turn on Allow Cancellation of Meeting and Allow Rescheduling of Meeting.
- Set how long the links keep working (for example, up to 24 hours before). If you leave it blank, the links never expire.
- Save. The links are added to the notes of the appointment invite.
Tips
- Change the status to Cancelled rather than deleting: Delete removes the appointment permanently and you lose its history.
- Use the same statuses to record what happened: Confirmed, Showed, No Show or Invalid.
- Rescheduling or canceling in Elooo System also updates your connected Google Calendar or Outlook. Marking Showed or No Show doesn't push changes to those calendars.
Common problems
- I can't find the appointment in the list → Check the selected appointment type (meetings, services or rentals), any active filters and the selected list (Upcoming, Cancelled or All).
- The reschedule or cancel link is blank in my message → That link only works in messages tied to an appointment, such as a workflow with an appointment trigger. Test with a real appointment.
- The client says the link no longer works → The deadline in the cancellation and reschedule policy has passed. Reschedule it yourself or extend the deadline.
- The client wasn't told about the cancellation → Turn on the cancellation notification in the calendar's Notifications tab.
Frequently asked questions
Does rescheduling create a new appointment?
No. It's the same appointment; only the date and time change.
Can I prevent last-minute cancellations?
Yes. In the cancellation and reschedule policy, set the cutoff after which the links stop working. After that, clients have to contact your business.
