Tasks

How to link a task to several contacts, opportunities or companies and filter the task list

When creating or editing a task (in Contacts › Tasks or on a contact, opportunity or company page), use the Associate To field and Add Association to link up to 10 records of each type. The same task shows on every linked record, and you can filter the list by contact, opportunity, assignee or status.

Updated on

Before you start

  • You need permission to create and edit tasks.
  • One task can link to up to 10 contacts, 10 opportunities, 10 companies and 10 custom object records at the same time.
  • Default associations depend on where you create the task (see below); you can always change them.
Where to find it

Contacts › Tasks › Add Task › Associate To

Step by step

Create a task with several associations

  1. Open the place where you want to create the task: the Contacts › Tasks page, or the task panel of a contact, an opportunity or a company.
  2. Click Add Task.
  3. In the Associate To field, confirm or change the pre-filled associations:
    • from the Tasks page: no associations;
    • from a contact: the contact and its primary company;
    • from an opportunity: the opportunity, its primary contact and that contact's company;
    • from a company: the company.
  4. Click Add Association to link more records (up to 10 per type).
  5. Fill in the rest (title, description, assignee, due date) and click Save.

Change the associations of an existing task

  1. Open the task (in the task list or in a record's task panel).
  2. Next to Associated Objects, click the pencil icon.
  3. Add or remove records and save.

View and filter

  1. On every contact, opportunity or company, the Associated Objects section shows the task.
  2. In the task list, hover over a task's chain-link icon to preview all linked records; click a name to open it in a new tab.
  3. Click the filter icon (on the Tasks page or in a record's panel) to show only tasks linked to a specific contact or opportunity, and combine it with status (open, completed, overdue) and assignee.

Tips

  • Instead of creating one task per person involved, create one and link every record: sales, support and operations all see the same item.
  • Create the task from the opportunity when the work is about the deal: the contact and company get linked automatically.

Common problems

  • The task doesn't show on the company page → The company wasn't linked. Edit the task and add the company under Associated Objects.
  • I can't add another contact → You hit the limit of 10 per type. Remove one you don't need or create a second task.
  • I created the task from the Tasks page and it has no contact → That's normal: from that page there are no pre-filled associations. Edit the task and pick the records.
  • The filter doesn't show the task → Filters use the associations; confirm the record you're looking for is linked to the task.

Frequently asked questions

Yes, up to 10 records of each custom object, through the same Associate To field.

Is the task duplicated on each record?

No; it's a single task shown on every linked record. Completing it in one place completes it everywhere.
