Triggers

How to start a workflow when a contact is created or gets a tag

In the workflow, click Add New Trigger and choose Contact Created (fires for every new contact) or Contact Tag (fires when a tag is added or removed). For tags, use the filters to pick the tag and whether it counts when added or removed.

Updated on

Before you start

  • For the tag trigger, create the tag first in Settings › Tags (or have already used it on a contact).
  • You need access to the Automation module.
Where to find it

Automation › Workflows › (open the workflow) › Add New Trigger › Contact Created or Contact Tag

Step by step

"Contact Created" trigger

  1. Open the workflow in Automation › Workflows and click Add New Trigger.
  2. Search for and choose Contact Created.
  3. To narrow it down, add filters (for example, only contacts with a certain source or tag).
  4. Click Save Trigger, add your actions and publish the workflow.

"Contact Tag" trigger

  1. In the workflow, click Add New Trigger.
  2. Search for and choose Contact Tag.
  3. Click Add filters and choose Tag Added (or Tag Removed).
  4. Select the tag. Example: "vip-customer".
  5. Click Save Trigger, add your actions and publish the workflow.

What makes a tag fire the trigger

  1. Adding or removing the tag by hand, on one contact or on many at once in Contacts.
  2. An action in another workflow that adds or removes the tag.
  3. An outside integration that adds the tag (this way can only add tags, not remove them).
  4. A CSV import with a tags column, including when the import updates contacts that already existed.

Tips

  • Without the Tag Added or Tag Removed filter, the trigger fires in both cases. Always pick one.
  • Tags are a great way to chain workflows: one workflow adds the tag and another one starts because of it.
  • If the workflow adds the tag and does something else to the contact in the same second, they can clash. Put a 1-minute Wait action between the two.

Common problems

  • The workflow fires when I remove the tag → The trigger is missing the Tag Added filter. Open the trigger, add the filter and save.
  • I added the tag and nothing happened → Make sure the workflow is Published and that the tag in the filter is the same one (watch out for capitals, spaces or similar-looking tags).
  • The contact already went through the workflow and didn't enter again → Turn on Allow Re-entry in the workflow settings.
  • I imported lots of contacts and they all entered the workflow → Importing with tags fires the trigger. If you don't want that, set the workflow to Draft before importing, or import without the tag.

Frequently asked questions

Does "Contact Created" fire for imported contacts?

It fires whenever a new contact is created in the CRM. Test with a single contact before importing a large list.
