How to let customers book and manage appointments in the portal
Two steps: under Calendars › Calendars, edit the calendar and turn on Client Portal booking under Booking channels; then, under Memberships › Client Portal › Settings › App Permissions, enable Appointments and save. Customers can then book, reschedule and cancel in the portal.
Updated on
Before you start
- The portal must be on the new version (the unified experience). If yours is still the classic version, enable the new one under Memberships › Client Portal › Dashboard.
- You should already have at least one calendar under Calendars with availability set.
- Portal appointments aren't available in branded mobile apps; they work in the web portal.
Where to find it
Calendars › Calendars › (edit the calendar) › Advanced settings › Booking channels › Client Portal booking
Step by step
Step 1: enable portal booking on each calendar
- Open Calendars and click Calendars.
- Find the calendar you want to offer and click the edit icon.
- Expand Advanced settings, then Booking channels.
- Turn on Client Portal booking.
- Click Save changes.
- Repeat for every calendar customers should be able to pick. You don't need a group calendar: the portal shows a selector with every enabled calendar.
Step 2: enable the Appointments area in the portal
- Open Memberships › Client Portal and click Settings.
- Open App Permissions.
- Find Appointments in the list and turn it on.
- Click Save Settings.
What the customer does in the portal
- Opens Appointments in the portal menu and sees the Today, Upcoming and Past tabs, plus a calendar view.
- To book, clicks Book Appointment, picks the calendar, day and time and confirms. Their contact details are already filled in.
- To view an appointment, clicks More details.
- If the calendar allows it, clicks Cancel or Reschedule.
- After an appointment is over, they can book another right away.
Tips
- Both steps are required: enabling only the app shows the area with no calendars; enabling only the calendar doesn't make the area appear.
- The calendar's rules still apply: office hours, slot duration, minimum notice, buffers, booking limits and conflicts with connected calendars determine which times the customer sees.
- If you want customers to be able to cancel or reschedule, check the calendar's cancellation and reschedule policy.
- Use separate calendars per service, department or team member: the customer picks the right one from the selector.
Common problems
- The Appointments area doesn't show in the portal → Make sure the customer is on the new portal version, that Appointments is enabled under App Permissions, and that you saved the changes.
- The area shows but there are no calendars to choose → No calendar has Client Portal booking turned on. Edit at least one calendar under Advanced settings › Booking channels.
- A time slot that should be available is missing → Review availability, minimum notice, buffers, booking limits and conflicts with your connected Google or Outlook calendar.
- Cancel or Reschedule doesn't appear → The calendar doesn't allow the action, or the window set in its cancellation and reschedule policy has passed.
- The customer can't change the time zone → The account has the option to disable the contact's time zone turned on. Review that setting if you want customers to pick their time zone.
Frequently asked questions
Does enabling Appointments make every calendar available?
No. Each calendar must have portal booking turned on individually, so you control exactly which ones customers can choose.
If I turn the area off later, do I lose the bookings?
No. The area disappears from the portal, but the calendars and appointments stay stored. You can turn it back on any time.
