How to set up a number pool to track where calls come from

Go to Settings › Phone System › Phone Numbers › Add Number › Add Number Pool, choose Visitors Activity, name it, set the pool size, the external forwarding number and the website number to swap; activate it and paste the pool's snippet into your website or funnel settings.

Before you start

  • You need permission to buy numbers: a pool has at least 4 numbers, purchased in your account.
  • Have an external number (company cell or landline) to receive the calls: you can't use an Elooo System number as the destination because it creates a call loop.
  • The website or funnel where the number will swap must be in Sites (or, for an external site, you must be able to paste code into the header or footer).
  • Know which number is currently shown on the site: that's the one that gets swapped.

Step by step

Create the pool

  1. Open Settings › Phone System › Phone Numbers.
  2. From the + Add Number button, choose Add Number Pool.
  3. Choose Visitors Activity and select which visitors to track. All visitors is recommended; if you choose paid search only, the number only swaps for people arriving from an ad.
  4. Click Next: Create Pool.
  5. Name the pool and set the Pool Size (minimum 4; the more simultaneous calls, the more numbers you need).
  6. Under Forwarding Number, enter the external number that will answer.
  7. Under Swapping Number, leave "same as forwarding number" checked if that's the number on your site; otherwise uncheck it and type the number exactly as it appears on the site.
  8. Click Next: Choose Numbers and pick local, toll-free or any-area-code numbers. Confirm that you agree to buy the pool's numbers.
  9. Under Number Features, write a Whisper Message (e.g. "Call from [source]") so you hear the source before answering and, if you like, turn on recording with its notice.
  10. Click Activate Number.

Add the snippet to your site

  1. In the pool list, click the pool's three dots and then Number Pool Info.
  2. Copy the Normal Snippet Code.
  3. Open Sites › Funnels (or Websites), open the site and go to the Settings tab.
  4. Paste the code at the bottom of the Body Tracking Code field and click Save. The number swaps on every page.
  5. To swap on a single page only, open the page in the builder, click the Tracking Code icon, paste it under Footer Tracking and save.

Test and see the results

  1. Open the site in an incognito window; the phone number should appear swapped for one from the pool.
  2. Call that number: you should hear the whisper and the call should reach the forwarding number.
  3. In Reporting › Call Reporting, check the source and, if available, the keyword for each call.

Tips

  • To see the searched keyword, append ?keyword={keyword} to the final URL of your Google Ads.
  • If the number on the site is in a "Call" button, the button's tel: must use exactly the same format as the swapping number, or it won't be replaced.
  • If you need to change the site number later, go to the pool's three dots › Edit Configuration, uncheck "same as forwarding number" and enter the new one.
  • You can build a workflow with the Call Details trigger and the In Number Pool filter to auto-tag callers from each campaign.

Common problems

  • The number on the site doesn't change → The snippet isn't in the right field, or the number on the site is written differently from the Swapping Number (spaces, area code). Type it exactly the same and test in an incognito window.
  • I picked "All except direct" and the test doesn't swap → In that mode, visitors who type the address directly into the browser aren't tracked. Reach the page through a link from another page.
  • Calls drop or don't connect → The forwarding number is an Elooo System number, which creates a loop. Switch to an external number.
  • No keywords show in the report → The ?keyword={keyword} parameter is missing from your ads; only calls from real ads show the keyword.

Frequently asked questions

How many numbers should I buy?

The minimum is 4. Each visitor holds a number during their visit; with lots of simultaneous traffic, increase the pool size.

Can I use the pool with a site that isn't in Elooo System?

Yes, as long as you can paste the pool snippet into the site's header or footer.
