How to log calls from another phone system in the contact's history (Log External Call action)

In Automation › Workflows, build a workflow with the Inbound Webhook trigger that receives the call data from your phone system, identify the contact by phone number and add the Log External Call action, mapping direction, date, numbers, status and recording. The call shows up in Conversations like any other.

Updated on

Before you start

  • You need permission to create workflows.
  • Your phone system must be able to send each call's data to a web address (webhook) after the call ends: direction, from number, to number, date and time, status and, if available, the recording reference.
  • Use phone numbers in international format, for example +15551234567: that's how Elooo System finds the right contact.
Where to find it

Automation › Workflows › workflow › + › Log External Call

Step by step

Receive the call data

  1. Open Automation › Workflows and create a new workflow (or open an existing one).
  2. Add the Inbound Webhook trigger and copy the address it shows.
  3. In your phone system, set it to send the call data to that address.
  4. Make a test call (or send a sample) so Elooo System receives a sample and learns the fields.
  5. Check in the trigger that the fields you need arrived: direction, from, to, date, status and recording.

Split inbound and outbound calls

  1. After the trigger, add the If/Else action.
  2. In the condition, use the call direction field coming from the webhook.
  3. Create one branch for inbound calls and another for outbound calls.

Identify the contact

  1. In the inbound branch, add Create Contact (or Find Contact) and map the webhook's From number into the Phone field: that's who called you.
  2. In the outbound branch, do the same with the To number: that's the person you called.
  3. If you want to decide what happens when the contact doesn't exist, use Find Contact and branch on Contact Found / Contact Not Found.

Log the call

  1. After the step that identifies the contact, click + and choose the Log External Call action.
  2. In each field, open the value picker and choose the data received by the webhook:
    • Direction: inbound or outbound.
    • Date: date and time of the call.
    • To and From: destination and originating numbers.
    • Call Status: the outcome recorded by the system (answered, no answer…).
    • Attachment: the recording reference, if your system sends one.
  3. Save the action and repeat the setup in the other branch.
  4. Test with a test contact, check the call in the history in Conversations, and only then publish the workflow.

Tips

  • If your phone system changes its data format, send a new sample to the webhook to refresh the fields available in the workflow.
  • Map Call Status to the actual outcome recorded by the system, not to a disposition picked by the agent, unless you translate it on purpose.

Common problems

  • The call landed on the wrong contact or created a new one → The number doesn't match the one on the record. Send numbers in international format with the country code, and make sure you use the From number for inbound calls and the To number for outbound ones.
  • There are no fields to map in the action → The webhook hasn't received a sample yet. Make a test call and reopen the action.
  • The recording doesn't open from the history → The reference sent in the Attachment field isn't compatible. Check the format your system sends and test again.
  • The webhook receives data but nothing gets logged → The workflow isn't published, or the contact wasn't identified before the action. Review the branches and the order of the actions.
