How to send a post to a teammate for approval before it goes live
In the Social Planner composer, open the arrow next to Post and choose Send Post for Approval: set date and time, pick the approver and leave a note. The approver gets an email and, under Content › Approval, can view, edit, approve (and change the date) or reject with a comment. Once approved, it goes on the calendar.
Updated on
Before you start
- The approver must be a user in your account with access to the Social Planner.
- Have the post complete: text, images or video, hashtags and first comment.
- If you want a branded notification email, prepare an email template first (see the section below).
Where to find it
Marketing › Social Planner › New Post › Create New Post › (arrow next to Post) › Send Post for Approval
Step by step
Send for approval
- In the left menu, open Marketing and click Social Planner.
- Create the post as usual (New Post › Create New Post).
- Click the arrow next to Post and choose Send Post for Approval.
- Set the intended date and time for the post.
- Pick the approving user.
- Write an internal note with context (for example, "October campaign, confirm the price") and confirm.
- The approver receives an email saying a post is waiting.
Approve, edit or reject (the approver)
- Open Marketing › Social Planner › Content › Approval tab.
- Click View to open the post with all its details.
- If something needs fixing, click Edit on that screen and save.
- To change the date, click the scheduled date and time and pick new ones.
- Click Approve (the post goes on the calendar at the chosen date) or Reject and write a comment with the reason.
- The person who requested approval sees the rejection comment and can fix and resubmit.
Use a branded notification email
- Open Marketing › Emails › Templates › New › Email Marketing Templates.
- In the library, open System Templates › Social Planner: Post Approval and use that template. Edit the text, colors and logo, then save.
- Back in the Social Planner, open Settings (gear icon) › Notifications.
- Under Setup Email template for Social Post Approval, pick the template you just created and save.
Bulk approval (CSV import)
- Click New Post › Upload from CSV and add the file.
- When choosing the networks, turn on Send for approval and pick the approver.
- All imported posts wait in the Approval tab; once approved, they go on the calendar.
Tips
- Pair approval with a clear internal note: it saves back-and-forth between the creator and the approver.
- The approver can change the date and approve in one step; the calendar updates immediately.
Common problems
- The approver didn't get the email → Check the user's email under Settings › My Staff and their spam folder. The post is still visible under Content › Approval even without the email.
- I don't see the Send Post for Approval option → It's on the Post button: click the arrow next to it, not the main button.
- The post was rejected and I don't know why → Open it under Content › Approval: the approver's comment is recorded there.
- I approved but the post isn't on the calendar → Check the date chosen at approval time; it may have landed on a different day. Look for it on the calendar on that date.
