How to create an appointment booking flow inside WhatsApp (WhatsApp Flows)
In Settings › WhatsApp › Flows, click Create new Flow, pick the calendar, arrange the form fields, write the texts and publish. Then send it in a template with a Flow-type button or, in a workflow, with the WhatsApp: Send Flows action inside the 24-hour window.

Before you start
- WhatsApp must be connected in Settings › WhatsApp with a new or migrated number. Numbers connected in coexistence mode (phone app + CRM) don't support flows.
- You need a calendar already created in Calendars with availability set.
- Calendars with payments enabled can't be used: WhatsApp doesn't process payments.
- Recurring appointments and extra guest bookings aren't supported; only the default form fields (name, email, phone, time zone…) are used.
- To send the flow you need an approved template or a conversation with the 24-hour window open.
Where to find it
Settings › WhatsApp › Flows › Create new Flow
Step by step
Create the booking flow
- Open Settings › WhatsApp and click the Flows tab.
- Click Create new Flow, enter a name and pick the calendar where appointments will be booked. Click Next.
- Arrange the default form fields in the order that makes sense for the customer.
- Write the header, body, footer and button text the customer will see.
- Click Publish.
Send the flow in a template (outside the 24-hour window)
- Open Settings › WhatsApp › Templates and click Create Template.
- Fill in the name, category, language, header, body and footer.
- Under Buttons, add a button and choose the Flow type; select the published flow.
- Submit the template for approval. Once active, you can send it in Conversations, in bulk sends, or in a workflow with the WhatsApp action and that template.
Send the flow in a workflow inside an open conversation
- Open Automation › Workflows › Create Workflow › Start from Scratch and set the trigger.
- Click + and add WhatsApp: Customer Service Window Check. Save.
- In the Open branch, add WhatsApp: Send Flows and pick the flow. Save the action.
- In the Closed branch, add a WhatsApp action with the template that has the flow button.
- Publish the workflow.
Tips
- You can ask Ask AI to create, update, publish or delete booking flows, for example: "create a booking flow linked to the Consultations calendar and publish it".
- Customer details (name, email, phone, time zone) are pre-filled in the flow, which reduces drop-offs.
- Use the flow in reminders too: "Want to book your next appointment?" with the flow button.
Common problems
- The Flows tab doesn't show up → The number is in coexistence mode, which doesn't support flows. Connect a new number or migrate the number.
- My calendar isn't in the list → It has payments enabled or is for recurring appointments. Create a calendar without payments for WhatsApp bookings.
- The booking is missing a field I need → Only default fields go into the flow. Ask for the extra information in a follow-up message or a form.
- The Send Flows action failed → The 24-hour window was closed. Use the window check first and, in the closed branch, send the template with the flow button.
Frequently asked questions
Can I create the flow without writing code?
Yes. The flow is built from the calendar and the default fields, no programming needed.
