How to set buffers between appointments and minimum notice
Edit the calendar in Settings › Calendars. In Availability, set the pre buffer and post buffer for each appointment; in Booking Rules, set the minimum scheduling notice and the date range clients can book within.
Updated on
Before you start
- You need permission to edit the calendar.
- Set your working hours first (Availability tab).
- Decide how much time you need before and after each appointment (prep, travel, room cleanup, notes).
Where to find it
Settings › Calendars › Edit › Availability / Booking Rules
Step by step
Buffer before and after appointments
- In the left menu, open Settings and click Calendars.
- Find the calendar and click Edit.
- Open the Availability tab.
- Find Pre buffer time (time reserved before the appointment) and Post buffer time (time reserved after it).
- Set a duration for one or both. For example, 15 minutes after each appointment.
- Click Save.
- To remove a buffer, come back here, set it to 0 and save.
Minimum notice and date range
- On the same calendar, open the Booking Rules tab.
- In Minimum scheduling notice, enter how far in advance clients must book (for example, 2 days). Slots before that are hidden.
- In Date Range, enter how many days ahead the calendar is open for booking.
- If you want the range to count only the days you work (no weekends or closed days), turn on Count available days only, right below the date range.
- Click Save.
See buffers on the calendar
- Open Calendars in calendar view (day or week).
- Click Manage view and turn on Show buffer time.
- Buffers show as blocks around each appointment. Turning this off only hides them: they still apply.
Tips
- Using both a pre and a post buffer can remove slots that look free. If you want as many slots as possible, use only one.
- Minimum notice counts calendar days, weekends included, even if you're closed.
- With Count available days only off, a 2-day range viewed on a Friday can show no slots at all (Saturday and Sunday use up the range). Turn it on to avoid that.
- On team calendars, buffers each person has on other calendars also count toward their availability.
Common problems
- There's a gap in my schedule but clients can't book it → The gap isn't long enough for the appointment plus its buffers. Shorten or remove one of the buffers.
- Clients see no available days → The date range is short and is being used up by closed days. Increase it or turn on Count available days only.
- I turned on Count available days only and the calendar went empty → The calendar has no weekly hours set. Set your days and hours in Availability.
- Clients book at the last minute → Set a minimum scheduling notice in Booking Rules.
Frequently asked questions
Does changing a buffer affect existing appointments?
The appointments stay, but the open slots around them are recalculated with the new buffer.
Does a fully booked day count toward the date range?
Yes. It counts as an available day but shows no open slots.
