Calendar troubleshooting

Why no available time slots show on your calendar

In Settings › Calendars, click the wrench icon (Troubleshoot) next to the calendar to see what's blocking each slot. The most common causes are no team member assigned, empty weekly hours, date-specific hours, buffers, minimum notice and Google or Outlook events marked busy.

Before you start

  • You need permission to edit the calendar.
  • Know which calendar has the issue and a specific day and time that should be open.
Where to find it

Settings › Calendars › Troubleshoot (wrench icon)

Step by step

1. Use the troubleshooting tool

  1. In the left menu, open Settings and click Calendars.
  2. Find the calendar and click the wrench icon (Troubleshoot).
  3. Review the breakdown of rules applied to the calendar (if asked, pick the day and time that should be open).
  4. Read the reason shown: capacity, buffers, time zone, member assignment or external calendar conflicts. Fix whatever it points to.

2. Check the settings one by one

  1. Right calendar: make sure you're editing the calendar with the right name, type and group (click Edit, pencil icon).
  2. Team member: make sure at least one member is assigned. With no member, no slots appear.
  3. Weekly hours: in the Availability tab, check each member's days and hours.
  4. Date-specific hours: see whether that day has a date-specific entry. It replaces the weekly hours and may be closing the day.
  5. Duration, slot interval and buffers: the wrong combination creates gaps or removes slots. For example, a 60-minute appointment with a 30-minute post buffer only lets bookings start every 90 minutes.
  6. Minimum notice and date range: in the Booking Rules tab, check that the notice isn't too long and the date range doesn't end before the day you're looking at.
  7. Capacity (class calendars or several bookings per slot): a slot only disappears once its seat limit is reached. Check whether it's already full.
  8. Google or Outlook: events marked Busy on linked or conflict calendars block that time.
  9. Time zone: check your profile time zone, the calendar view time zone and the one shown to clients.

Tips

  • After each fix, open the calendar link in a private browser window to see the slots as clients do.
  • On team calendars, a staff member can be free and still not get bookings because of the assignment setup or buffers on their other calendars.

Common problems

  • The link opens but shows no days → No team member is assigned or weekly hours are empty. Add the member and set days in Availability.
  • A whole day shows as closed → There's a date-specific entry for that day, or a busy Google/Outlook event. Delete or fix the exception, or set the external event to free.
  • There's free time but no slot appears → The duration plus buffers doesn't fit in that gap. Shorten a buffer or adjust the duration.
  • Clients see slots at odd times → Time zones don't match. Fix the time zone in your profile and on the calendar.
  • Slots show on one computer but not another → It may be the browser cache or the device time zone. Open it in a private window and check the computer's time zone.

Frequently asked questions

Does an overlapping appointment close every slot?

No. On calendars with several seats, each appointment lowers capacity by 1. A slot only closes when capacity runs out.

Can clients choose the staff member?

Yes, on round robin calendars, if you turn on team member selection in the calendar settings.
