How to invite members to a group and set roles
Inside the group, click Invite Members and copy the invite link or send an email invite (with or without admin privileges). To change someone's role, go to Members, click the three dots next to their name and pick Admin or Contributor; the same menu lets you remove a member.

Before you start
- You must be the group owner or an admin.
- Have the name and email of the person you're inviting, or the channel you'll send the link through (email, SMS, WhatsApp).
- If the group is private, remember: even people who join by invite must be approved under Members › Requested.
Where to find it
Memberships › Communities › Groups › (open the group) › Invite Members
Step by step
Invite by link
- Open Memberships › Communities and enter the group.
- Click Invite Members.
- Copy the invite link.
- Send it however you like: email, SMS, WhatsApp, or a campaign to many contacts at once.
Invite by email
- Under Invite Members, choose Email Invite.
- Enter the person's name and email.
- If you want them to join as an admin, turn on Administrative Privileges.
- Click Send Invite. They receive an email with a button to join.
Change a member's role
- In the group, open Members.
- Find the person and click the three dots next to their name.
- Choose Admin or Contributor. The options you see depend on your own role.
The roles are:
- Owner: the person who created the group. Can do everything, including deactivating the group. This role isn't assigned to someone else from the menu.
- Admin: manages members and content: invites, approves, removes, changes roles, deletes posts.
- Channel Manager: manages one specific channel (its members and posts).
- Contributor: takes part in discussions, with no management powers.
Remove a member
- Under Members, click the three dots next to the name.
- Choose Remove from Group. The person leaves but can request to join again later.
- If you don't want them back, use Ban instead of removing.
Tips
- To invite a large list, send an email or SMS campaign with the group link instead of inviting one by one.
- You can let members invite others: in the group Settings, turn on Allow members to invite new members. When it's off, the invite button disappears for them.
- If someone hasn't joined, resend the link or email invite: it may have landed in spam.
- Each member invited by email gets the "Joined the Group" email, editable under Memberships › Client Portal › Settings › Email Settings › Communities.
Common problems
- The invitee says they got nothing → Ask them to check spam and confirm the email you typed. Resend the invite or send the link directly over WhatsApp.
- Members can't see the Invite Members button → Allow members to invite new members is turned off in the group settings.
- I can't change the owner's role → That isn't possible from the members menu. The owner role stays with whoever created the group.
- I removed someone and they're back in the requests → Removing only takes them out of the group. To keep them out, use Ban.
Frequently asked questions
Does someone with an invite link get straight into a private group?
No. In a private group every request goes through approval, even with an invite link. Approve under Members › Requested.
Can I grant group access automatically after a purchase?
Yes, with a workflow under Automation › Workflows: there are actions to grant and revoke community group access when a contact buys, cancels or receives a tag.
