How to store files on a contact with a File Upload custom field
In Settings › Custom Fields, create a File Upload field (set accepted types, max size and whether it allows multiple files). Then, on the contact page, find the field in its folder, click Upload File and pick the document. You can view, replace or delete the file right there.
Updated on
Before you start
- Creating the field requires admin access. Uploading files only requires permission to edit contacts.
- Accepted formats: PDF, DOCX, PNG, JPG, CSV, PPTX and XLSX. Videos are not supported.
- Each file can be up to 250 MB.
Where to find it
Settings › Custom Fields › Create Field › File Upload
Step by step
Create the file field
- In the left menu, open Settings and click Custom Fields.
- Choose the Contacts object and click Create Field.
- Pick the File Upload type.
- Give the field a clear name, for example "Signed contract" or "ID document".
- Configure the options:
- accepted file types;
- maximum size per file;
- Allow multiple files: a single file or the maximum number of files;
- the folder (group) where the field appears on the contact page, for example "Additional Info".
- Save. The field is now available on every contact page.
Upload a file on the contact page
- In Contacts, open the contact.
- In the left panel, open the folder where you placed the field (or search for the field name).
- Click Upload File in the field.
- Pick the file from your computer and confirm.
- Save the contact if auto-save is off.
View, replace or delete
- To open the file, click the file link inside the field.
- To swap it, delete the current file and upload the new one (or use the replace option if shown).
- If you delete by mistake and an Undo option appears, click it to restore the file.
Tips
- Create one field per document type (contract, ID, signed quote): easier to find and filter.
- Put file fields in their own folder ("Documents") so they don't mix with contact data.
- This field stores loose files on the record; proposals and contracts sent for signature live in the Documents tab of the contact, which is a different feature.
Common problems
- The field isn't on the contact page → It's in another folder. Use the field search on the contact page or check the folder in Settings › Custom Fields.
- The file won't upload → Check the format and size (up to 250 MB, no videos), check your internet connection, refresh the page and try again.
- It only lets me upload one file → The field was created for "one file". Edit the field and enable Allow multiple files with the number you need.
- Format rejected → The type isn't in the field's accepted list. Edit the field and add the type, or convert the file (for example to PDF).
